The process of creating processes

After your successful integration as a project manager in a new place of work, it makes sense to familiarize yourself with the existing processes in the organization and, if you think they can be improved, proactively suggest changing them. The document describing the process should contain the following elements: goal, description of roles, sequence of steps (when-who-what, expected results, metrics, problem escalation path), checklist (optional)


Here are the process rules (adapted by Chuck Palahniuk's Fight Club rules):
1. The approved process must be followed.
2. The approved process must be followed, even if you do not want to do it.
3. A process can be changed only by a special process of changing processes, which includes:
- Modification of the document describing the process
- Review \ inspection of the modified document
- Piloting a new process
- Approval of a new process in case of successful piloting
- Then go to step 1.
Exception: the senior management (or business) may decide not to follow the current process, in whole or in part, in this particular situation and this should be clearly documented.

Here is an example of a process (in English), written by me after a 2-day wait for the complete staffing of my new workplace:

1. Buddy meets Newcomer at reception desk
2. Buddy introduces Newcomer to colleagues
3. Buddy and Newcomer visit the working place
4. Buddy (toilets, kitchens, conference rooms)
5. Buddy provides Welcome Pack documents to Newcomer
6. Buddy schedules (if needed)
7. Buddy and Newcomer go out for a lunch
1. Newcomer settled
During 4 weeks after Newcomer's First Working Day
1. Buddy is the ANY.
2. If needed Buddy escalates all issues to Facilitator during the integration
1. During the first 1-2 weeks and only after that.
2. If it is not, Buddy should DIRECTLY.
4 weeks after Newcomer's First Working Day
1. Buddy sends Newcomer's integration report (optional)
2. Newcomer sends the feedback about the usefulness of the Buddy program (optional)
1. No questions from Newcomer
2. Newcomer is satisfied with the results of his \ her integration


Successful metric: First Working Day. Newcomer is satisfied with the results of his \ her integration.
