My paperless technology

I deal with a lot of paper documents. No matter how hard I try to get rid of the papers, I still get bank statements, notices from the pension fund, official letters, I conclude contracts in private, not to mention work, where the amount of paper being exhausted rolls over.

I am aware that sorting out pieces of paper is not the most important thing in my life, so that the analysis of correspondence in my priority dangles somewhere in the last places. In principle, things are done and so, life goes on, so that it would be possible not to sweat about the papers. As it says, “gentlemen are trusted with the word,” perhaps, but, unfortunately, not everyone around me falls under the category of people whose word is worth believing. And a substantial part of the paperwork that settles in me can be classified as “a contract in simple written form”, or as acts of performance of obligations. Accordingly, at least until the full fulfillment of obligations, they should be kept.

Having had a keen desire to reach my elbows with my teeth a couple of times just because of the lack / loss / destruction of A4 paper, I thought about creating my own technology for handling papers, which will allow you to have the necessary papers always at hand, at the same time not burdening you unnecessary gestures and mental tension. The variant with a bunch of folders with stickers, by which I have to shove the sorted waste paper, I did not catch, despite all my heroic efforts.

Attention is offered a new method, taking into account my extreme laziness and disorganization. The following summary exists in my Google Docs, and the reason why I post it on public display is the desire to get valuable feedback and share experiences with those who have the same problems.

Goals:


Get rid of the mountains of paper on the table and in various other places.
Exclude loss of documents.
Make it as convenient as possible.

Tasks:


Scan all paper documents coming to me.
Keep originals of important documents.
Categorize document scans.
Have the ability to quickly find the original document.
Eliminate the possibility of losing a document.

Procedure:


Scan all documents.
Spread scans on folders on your computer.
Write the file name and date on the sticker and stick it on the document.
Put all documents in one box in order (according to the number on the file name).

Problems:


Some documents will need to be retrieved for some actions with them, for example, constituent documents for companies, bank account agreements, etc.
Not all original documents have the same value. Not all documents need to be stored the same time.
Unable to index for search.
Documents are personal and work.

Solutions:


Create 4 trays on the table: 2 trays for personal and 2 for working papers: put documents stored in one for more than a year, in another - up to a year. As you fill the shift in the same box.
After arbitrary periods of time, recognize FineReader scans in pdf (without spell checking) and save it under the same name in the same folder.

More problems:


Documents can get into the house through me and through my wife. How to process documents of the wife relating to workers, for example?
Answer: Agree on who enters what documents.

Not enough space on the table, where to put the scanner?

What if you can not make a sticker on the document (any constituent documents, etc.)?
Answer: 1) We sculpt the Post-It and put a stamp on it with the date and number or 2) put it in the pocket folder and make a sticker on it.

How to understand which of the boxes (up to a year or longer) is the document?
Answer: apparently from the content of the document.
